Visa Xpert vs VFS Global vs the Embassy: Who Does What?
Three different organisations are involved in most visa applications from Kerala, and they are easy to mix up. The embassy or consulate decides your visa. VFS Global, or another visa application centre, collects your application and biometrics for the embassy. Visa Xpert is an independent consultancy that prepares your file before you submit it. This page explains what each one does, what each one charges, and when you need them.

Quick answer
Visa Xpert is not VFS Global and not an embassy. The embassy, consulate or high commission of the country you are visiting is the only body that decides your visa. VFS Global is a private company that runs visa application centres on behalf of many governments: it takes your form, documents, fingerprints and photo, charges a service fee, and passes the file to the embassy. It does not decide anything. Visa Xpert is an independent visa consultancy in Kochi, in business since 2015, that checks your eligibility, prepares your checklist and application, and reviews the file before you submit it yourself at VFS or online. You can apply without a consultant; many people use one to avoid mistakes.
Who does what in a visa application
The embassy, consulate or high commission
The government office of the destination country, usually in New Delhi with consulates in Chennai, Mumbai or Bengaluru. It sets the rules and the visa fee, examines your application and decides whether to grant or refuse the visa. Its officers may ask for more documents or an interview. No consultant or visa centre can influence that decision.
VFS Global (and other visa application centres)
An outsourced application centre. Governments contract companies such as VFS Global to collect applications so that applicants do not have to travel to the embassy. The centre checks that your file is complete, records your biometrics, charges its own service fee on top of the visa fee, and forwards everything to the embassy. In Kerala, VFS Global runs a centre in Kochi for the UK and most Schengen countries; Spain uses BLS International in Kochi. The centre does not assess your case and cannot tell you whether you will get the visa.
Visa Xpert, an independent consultancy
A private company in Kochi that works for you, not for any government. We confirm which visa fits your trip, prepare the document checklist, fill in the online form, help you book the appointment, and check the complete file before submission. We charge a service fee for this work, separate from the visa fee and the centre fee. We are not affiliated with VFS Global or any embassy, and we never guarantee an outcome.

When you need each one
- Always: the embassyEvery visa is decided by the embassy or consulate of the destination country, whether you apply through a centre, online or by post.
- Usually: a visa application centreFor the UK, Schengen countries, Canada, Ireland, Japan and South Korea you submit documents or biometrics at a centre such as VFS Global. Some countries work differently: the USA uses its own Visa Application Centres for biometrics and interviews at the consulate, Spain uses BLS International, Singapore uses authorised visa agents, Australia is applied for online with biometrics only if asked, and Turkey and Russia e-Visas are online only.
- Optional: an independent consultantYou can prepare the application yourself. People use Visa Xpert when they want the checklist and form done correctly the first time, when a family member is applying, when an earlier application was refused, or when they are short of time.
Common mix-ups
- "VFS Kochi" is not Visa Xpert. VFS Global is the application centre. We are a separate consultancy on MG Road. You submit at VFS; we prepare the file.
- VFS does not refuse visas. If a visa is refused, the decision and the reasons come from the embassy. VFS only returns the passport.
- A consultant cannot speed up the embassy. Processing times are set by the embassy. We help by submitting a complete file at the right time, which avoids delays from missing documents.
- "Visa Expert" and "Visa Xpert" are the same office. Many clients spell our name Visa Expert. There is one Visa Xpert, at Ravipuram Junction, MG Road, Kochi, since 2015.
- Three fees, three payees. The visa fee goes to the government, the centre fee to VFS or BLS, and our charge to Visa Xpert. We list all three on our fees page.
